The Business Center offers an affordable way to establish a credible business presence with access to a professional address, meeting spaces, and operational support. All offered within a secure, community-driven environment. Whether you need a virtual presence, mailbox and package handling, or full meeting room rentals, the center scales with your business, providing convenience and professionalism without the overhead of a traditional office lease.

Douglas County Chamber Business Center Mailing Services Terms & Conditions 1. Parties & Definitions 1.1 This Agreement is between the Customer (“Customer”) and the Douglas County Chamber (“DCC,” “we,” “our”). 1.2 “Mailbox” refers to the Customer’s assigned mailing address and/or physical mailbox number. 1.3 “Form 1583” refers to USPS PS Form 1583: Application for Delivery of Mail Through Agent (link). 1.4 “Business Center” refers to the Douglas County Chamber’s facility providing mailing and package handling services. Shape 2. Eligibility, Application & Approval 2.1 Only active DCC Investors in good standing are eligible to receive the discounted rates for Business Center mailing services. 2.2 Each Customer must complete and submit: A signed Form 1583 Two valid forms of identification (one photo ID and one proof of address) The Business Center Mailing Services Application 2.3 DCC reserves the right to approve or deny any application at its sole discretion. 2.4 Service activation begins only after documentation, ID verification, and payment are confirmed. 2.5 Customers may receive mail under their registered business name(s) only. Additional business names require advance approval and may incur fees. Shape 3. Use of Mailbox & Address 3.1 Authorized use is limited to legitimate business mail and package delivery. Illegal, fraudulent, or residential use is prohibited. 3.2 The Customer must use the exact DCC-issued address format. Alterations or omissions may result in returned or undeliverable mail. 3.3 The mailbox may not be used as a residential or permanent personal mailing address. 3.4 The Customer agrees to comply with all applicable federal, state, and USPS regulations. Shape 4. Access & Security 4.1 Each Customer will be assigned a mailbox number and access code for 24/7 entry. 4.2 Possession of a key or code constitutes authorization to remove mail. 4.3 Unauthorized sharing or duplication of access credentials may result in immediate termination of service. 4.4 Lost keys or access codes must be reported immediately; replacement fees may apply. 4.5 DCC may temporarily restrict access due to maintenance, holidays, or emergencies, with notice provided when possible. Shape 5. Mail & Package Handling 5.1 DCC will accept mail and packages from USPS, UPS, FedEx, and DHL. 5.2 Standard mail is placed in Customer mailboxes Monday–Thursday; no individual delivery notifications are provided. 5.3 Packages requiring signature will be accepted, logged, and stored in secure lockers. Customers are notified via email. 5.4 Items must be collected within 30 days of delivery notice or may be returned to sender. 5.5 DCC does not accept: Cash, hazardous materials, perishable goods, or restricted substances Collect on delivery (COD) shipments without prior approval 5.6 DCC is not authorized to open or inspect Customer mail or packages unless required by law or USPS regulation. Shape 6. Fees, Payment & Renewal 6.1 Monthly fees are billed in advance and processed automatically on the first of each month via stored payment method. 6.2 Service automatically renews monthly unless canceled with 30 days’ written notice. 6.3 Late payments over five (5) days incur a $20 late fee. Access may be suspended until payment is received. 6.4 Additional fees may apply for: Mailbox or lock replacements Additional business names or recipients Excessive mail or package volume beyond plan limit 6.5 Fees are non-refundable once service begins. 6.6 Customers are responsible for maintaining an active, valid payment method on file. Shape 7. Forwarding, Storage & Termination 7.1 Upon termination, Customers may request mail forwarding for up to six (6) months, subject to additional fees. 7.2 After six months of inactivity or unclaimed items, mail and packages may be destroyed. 7.3 DCC will provide written notice before mail is considered abandoned. 7.4 Service may be terminated by: Customer, with 30 days’ written notice DCC, for reasons including: Non-payment or default Misuse or illegal activity Excessive volume or violation of terms Abusive conduct or property damage Shape 8. Customer Responsibilities 8.1 Customers must keep contact information current and notify DCC immediately of changes. 8.2 Only authorized individuals listed on the Customer’s account may collect mail. 8.3 Misdelivered mail must be returned to DCC staff unopened. 8.4 Customer agrees not to use DCC’s address for unlawful, misleading, or deceptive purposes. Shape 9. Liability & Indemnity 9.1 DCC is not liable for loss, delay, theft, or misdelivery caused by carriers, incorrect addressing, or circumstances beyond its control. 9.2 Customer agrees to indemnify and hold harmless the DCC, its employees, and affiliates from any claims, damages, or legal costs arising from the Customer’s use of services. 9.3 DCC’s total liability for any claim shall not exceed one month’s service fee. Shape 10. Privacy & Confidentiality 10.1 Customer data, including identification and Form 1583, will be stored securely and shared only as required by law or USPS regulations. 10.2 Information may be disclosed to law enforcement, USPS auditors, or government agencies when legally mandated. 10.3 DCC does not sell, rent, or distribute Customer information for marketing purposes. Shape 11. Modifications & Notices 11.1 DCC reserves the right to amend these Terms and Conditions at any time. 11.2 Notice of modifications will be sent via email and/or posted in the Business Center. Continued use of services constitutes acceptance. 11.3 All official notices, invoices, and updates will be deemed received within 24 hours of email delivery or physical posting in the Customer’s mailbox. Shape 12. Governing Law & Dispute Resolution 12.1 This Agreement shall be governed by the laws of the State of Georgia. 12.2 Any disputes arising under this Agreement shall be resolved in Douglas County, Georgia. 12.3 Both parties agree to attempt good-faith mediation before pursuing legal action. Shape 13. Acknowledgment & Signature By enrolling in DCC mail and package services, Customer acknowledges that they have read, understood, and agree to these Terms and Conditions.
