The VPX-DSD Office Administrator function is to support both the Operations and Sales side within the VPX-DSD team, per the designated location(s). The Office Manager reports directly to the VPX-D National Sr. Administrator, as well as working close with the General Sales Managers and Operations Managers of assigned location(s). This position will work as the liaison between VPX-D employees and Employee Services/Human Resources, Benefits/Payroll, IT and other departments within the organization.

  • Responsible for providing general office support with a variety of clerical activities, ordering supplies and equipment and other related tasks
  • Check and verify Account Sales Manager’s end of day paperwork
  • Scan and process each route’s deposits the following morning (home base location)
  • Support the administrative needs of the VPX-D Sr. Administrator as well as the Operations/Sales need of the VPX-D Management Team
  • Manage all office administrative activities, including daily mail and FedEx deliveries and shipments, ordering of office supplies, maintenance of office equipment, and other day-to-day office operations
  • Administer all facets of the hiring process between the VPX-D hiring manager and the Recruiting, Employee Services, Benefits/Payroll and IT departments from beginning to end
  • Responsible for setting up new accounts, adding designated pricing and other account changes for all sales routes in the designated areas using the software Encompass Technologies
  • Direct liaison between VPX-D Sales Team and VPX-D Accounting Team – invoice or deposit discrepancies, open balances, etc. for the locations covered
  • Assist Sr. Administrator or General Sales Managers(s) with routing imports or changes, customer information, invoice history and other tasks via Encompass Technologies
  • Run daily and weekly reports for Sr. Administrator and General Sales Manager
  • Assist with planning team-building events and other gatherings
  • Provide daily technical support to the field – Encompass changes for promotions, general use and troubleshooting of the handheld units, mobile printers, etc.
  • Responsible for keeping track of all VPX-D hardware – handhelds, printers, etc.

Your Experience/Requirements Include:

  • High school diploma or above
  • Minimum one year experience in assistant or administrative role
  • Fluent in English, additional language is plus
  • Proficiency in Microsoft Office (PowerPoint, Word, Excel, etc.)
  • Ability to multi-task in a fast-paced environment
  • Self-starter, takes initiative, works effectively in self-directed manner
  • Excellent communication skills
  • Project management skills
  • Ability to interface with multiple departments
  • Organizational and time management skills
  • Knowledge of product distribution preferred
  • Current and valid Driver’s License
  • Must be at least 21 years old
